  通知一般用于上級對下級組織對成員布置工作\傳達事情及召集會議等。通知就其形式而言,可分為書面通知和口頭通知兩種形式.對通知的考查側(cè)重于對通知格式及通知正文時態(tài)的應用等方面。寫好一份通知,需要掌握下面三點:

  一、通知的形式

  通知有多種分類。從形式上可分為書面通知(written notice)和口頭通知(an nouncement)。書面通知強調(diào)語句簡練,用詞貼切,用語書面化;而口頭通知比較靈活簡練,用詞表達可隨便些,較為口語化。

  二、通知的結(jié)構(gòu)

  通知一般由標題、正文和結(jié)尾三部分組成。標題部分包括常用標題語和發(fā)出通知的單位名稱;正文包括事情、通知對象、要求、時間(有時還包括地點)等;結(jié)尾部分主要包括發(fā)通知的具體日期。英文通知的格式一般是將NOTICE(每個字母都大寫)寫在通知正文上面一行的正中間。發(fā)出通知的單位名稱可以寫在NOTICE上面,也可以寫在通知正文的右下角;發(fā)通知的日期一般寫在通知正文的左下角。書面通知的格式如圖所示:

  三、通知的書寫

  1、發(fā)出通知的單位和對象在一般情況下用第三人稱,如要求同學們按時到會,不說“We must to…”或“You should…”,而應寫成:All the students are requested to be there on time.

  2、在語言上,口頭通知的句型應該做到口語化,多用簡單句和祈使句,語言上盡可能用精煉的文字表達明確的信息。通知中提及的事情都是計劃要做的,時態(tài)多用將來時,語態(tài)多用被動式。

  在句式上,常以“Boys and girls/Ladies and gentlemen”等作為稱呼語。開頭常用句式是“May I have your attention,please?/Attention,please./I've got some- thing important to say./I'm very glad to tell you that.../Please be quiet,everyone! I have something to say./I have some good news for you!/There will be a talk tomor row./The sports meeting will be held.../It has been decided that we'll pay a visit to…”,在通知結(jié)尾處常用句式“Please be there on time”并以“That's all. Thank you”作為客套結(jié)束語。

  3、書面通知常以布告形式張貼或?qū)懺诓几媾啤⒑诎迳希咽虑橥ㄖ接嘘P(guān)人員等。為醒目起見,標題的每個字母可以用大寫(如NOTICE)。一開頭需要交代說明何事(what)、何地(where)、何時(when)、何人(who)。

  4、在句式寫法上必須注意以下幾點:

  ①盡可能用精煉的文字表達明確的信息,多用簡單句或短句、單句,以避免繁雜;

  ②通知往往著重對活動內(nèi)容、對象進行說明,多用被動語態(tài),如“The class meeting will be held…”(班會將舉行……)等等;

  ③通知是要求下級成員該做什么或注意什么,多用祈使句;

  ④通知中所告的事情大部分是未進行的,故多用將來時態(tài)。

  簡而言之,一份好的書面通知應具備以下三點:

  1、四多一少。四多:被動語態(tài)多,將來時態(tài)多,簡單句多,祈使句多。一少:修飾性詞語少。

  2、通知的開頭要交代清楚活動的內(nèi)容、對象、時間和地點。我們稱之為四“W”。即:what,who,when,where.

  3、層次清晰。一個層次表達一件事,切忌在一個句子中表達多件事情。
